Key information: SpaceBuilder (server) and Space (app)
The SetFN Space app connects you to a workspace created through SetFN SpaceBuilder, the server software operated by your team, company, organization or community.
Your organization or Administrator uses SpaceBuilder to create an online workspace on a PC, company server or personal server. Users connect to that workspace through the mobile and desktop apps.
SetFN Inc. does not route your files, chats, calendars, email, documents, approval contents, comments, account IDs or passwords through its own servers, and does not collect or store them through SetFN Space. These work data and login details are managed under the responsibility of the Administrator of the workspace server you connect to.
We may, however, process limited device identification information to provide push notifications about email, chats, comments, approvals and calendars. This may include a device ID identifying an app installation, push token, app version and operating system information.

1. Purpose and scope
This policy applies to personal information that we process directly when you use the SetFN Space mobile app, desktop app or related client programs.
It covers:
- Installing and running the App
- Connecting to a workspace server
- Registering and sending push notifications
- Diagnosing app errors, providing customer support and answering inquiries
- App updates and security improvements
- Desktop app update checks, diagnostics and local cache management
Files, documents, chats, calendars, email, comments, approvals, user accounts and passwords processed within the workspace server generally fall under its Administrator's responsibility. We do not access that data unless the server's Administrator or User separately provides it or grants access.
2. Personal information collected and processed
2.1. Information we process
We directly process the following information:

2.2. Information we do not process
The following information is processed under the workspace server Administrator's responsibility, rather than directly by the Company. The party processing this information is separate from the Company.

We process only the minimum device identification information and push tokens needed for notifications. A push token identifies an app installation to which notifications can be sent. It is used for notifications related to features such as email, chat, comments, approvals and calendars. The token is an identifier for your device; it is not the contents of files, email bodies, chats or documents on the workspace server.
If the workspace server Administrator enables SetFN email relay, we may process the minimum metadata needed to relay messages, such as the sender, recipient, subject, sending and receiving times, and relay status. Even in this case, we do not store email bodies or attachments and process information only as needed for the relay.
3. Purposes of collection and use
We use the personal information we process directly for:
- Registering and sending push notifications and managing delivery status
- Providing notifications about email, chats, comments, approvals, calendars and other app features
- Providing SetFN email relay when selected by the Administrator
- Monitoring relay status and responding to incidents
- Identifying app installations and devices
- Diagnosing errors, responding to incidents and improving security
- Responding to customer inquiries and providing support
- Delivering updates and bug fixes and maintaining service stability
We do not collect or use work data stored on your workspace server for advertising, marketing, AI training or profiling.
Processing device identifiers and push tokens does not give us access to the contents of emails, chats, files or approval documents on the workspace server. The fact that a notification occurred, and the identifiers needed to deliver it, are distinct from the underlying work data.
4. Push notifications and device identifiers
SetFN Space may use push notifications to provide app features.
Notifications may include:
- New email or other email-related notifications
- New chat messages
- File comments or change history
- Approval requests and decisions
- Calendar or work-related notifications
For this purpose, we may process device IDs, push tokens and app installation identifiers. These identify the device to receive a notification. They are not used to store your files, email bodies, chat contents or documents on the Company's servers.
Push notifications may be provided through a notification system we operate. Depending on the App's implementation, it may use an operating system's or platform's delivery infrastructure, such as Google Firebase Cloud Messaging. In that case, the minimum identifiers required for delivery may be processed through that infrastructure.
5. SetFN email relay
A workspace server Administrator may choose SetFN email relay to send and receive email. It is used only when configured by the Administrator and is not enabled by default for all workspaces.
When the Administrator uses SetFN email relay, we may process the following information to deliver email to its destination:

Email bodies and attachments are managed on the workspace server or in the user's connected email environment. We do not keep them in a separate repository. We process only the information needed to relay the email feature selected by the Administrator, not to retain email long-term or analyze its contents. We destroy that information within a maximum of one month after relay completion.
Communications between the workspace server and our email relay system are protected by mutually authenticated encryption, such as mTLS.
6. Mobile and desktop apps
The SetFN Space mobile app is primarily used to connect to a workspace server while on the go and view or handle files, chats, calendars, email, comments and approval notifications. Device IDs, push tokens and app installation identifiers may be processed to provide mobile push notifications.
The desktop app may connect to a workspace server from your PC and provide file viewing, synchronization, notifications, automatic updates and diagnostics. It may process local caches, app settings, connection records and error logs on your device to provide these features.
If the desktop app accesses local files, this does not mean we collect or retain them on the Company's servers. Local file access, caching, synchronization, uploading and sharing take place according to the connected workspace server and its Administrator's policies.
7. Data transmission and encryption
Communications between the SetFN Space app and a workspace server may be protected with encryption in transit, such as HTTPS/TLS. We recommend secure communications. Workspace server Administrators must appropriately manage server certificates, network security, permissions, backups, logs and other operational security measures.
If the Administrator uses SetFN email relay, communications between the workspace server and our relay system are protected by mutually authenticated encryption, such as mTLS.
8. Retention periods
We retain personal information we process directly for as long as necessary to fulfill its collection and use purposes.

Information may be retained for the applicable period where required by law or necessary for disputes, security incident investigations or misuse prevention.
The workspace server Administrator's policies govern retention and deletion of files, chats, calendars, email, account details and login records inside the workspace server.
9. Disclosure to third parties
We do not disclose personal information to third parties without your consent, except:
- Where you have given prior consent
- Where disclosure is required by law or requested by an investigative authority through lawful procedures
- Where an operating system's or platform's notification delivery infrastructure is used to provide push notifications
If a workspace server Administrator connects user data to external services, AI services, mail servers, calendar servers or file storage, processing is governed by that Administrator's and the connected service's policies.
10. Data processors
We currently do not entrust personal information processing for SetFN Space operations to external service providers.

11. Your rights and how to exercise them
You may exercise the following rights regarding personal information we process directly:
- Request access
- Request correction or deletion
- Request suspension of processing
- Withdraw consent
You may disable push notifications in the App or device settings. If you do so, you may not receive real-time notifications about email, chats, comments, approvals or calendars.
Requests to access, correct or delete user accounts, passwords, files, chats, calendars, email, comments or approvals stored on a workspace server must be directed to that server's Administrator.
12. Security measures
We take the following measures to protect personal information we process directly:
- Restricting use of push tokens and other identifiers to their stated purposes
- Encrypting data in transit
- Using mutually authenticated encryption, such as mTLS, for email relay communications
- Minimizing access to personal information
- Checking for errors and security issues
- Training staff who handle personal information and maintaining internal management procedures
Workspace server security settings, user permissions, data backups, access logs and password policies are generally managed under that server Administrator's responsibility.
13. Children's privacy
As a general rule, SetFN Space is not offered to children under 14. If we discover that personal information about a child under 14 has been processed, we will take the measures required by applicable law.

15. Policy changes
We will announce changes to this Privacy Policy on our website at least 7 days before they take effect. For changes that materially affect your rights, we may provide a longer notice period in accordance with applicable law.
